Product News: Condition Assessment

The condition of an organization’s physical asset portfolio – including outstanding deficiencies and deferred maintenance items – can adversely affect asset service life and the ability to support core business functions. A proper understanding of an asset's condition is necessary in order to keep the asset at maximum operating efficiency, minimize asset downtime, and understand when the asset should be replaced. Just as an organization needs to know what assets it has in order to formulate an Asset Management Plan, it also needs to know the condition of its assets in order to create an asset maintenance plan and schedule. Knowing the condition of the organization's assets is key to true asset management through the entire lifecycle.

One of the most important jobs of a FM professional is to ensure that an organization's assets are in optimal condition. This means not only getting assets repaired quickly when they break, but also making sure that they are not going to break in the first place and are operating at the proper efficiency and capacity. While this job is incredibly important, it is not as simple as issuing a preventive work order to repair a broken part – preventive maintenance requires creating and following a maintenance schedule. FM professionals must assess the present condition of all of the assets in the organization's portfolio in order to create this maintenance schedule, and they need to record the condition of the organization's assets during the maintenance process in order to ensure that the schedule is effective for implementation.

Condition assessment is an important step in both capital budgeting and capital project processes. Knowing the real condition of an organization's asset portfolio enables FM professionals to demonstrate how costs are associated with corrective measures and to plan the required capital needed to address the critical identified deficiencies. Similarly, an organization must assess the condition of its asset portfolio in order to identify areas which require capital projects to raise operating efficiency.

Clearly, knowing the condition of your organization's assets is vital to effective asset management at all levels. However, it is no easy task to analyze the condition of assets across an organization's entire portfolio and to keep that information up to date throughout maintenance processes and day-to-day operations.  The ARCHIBUS Condition Assessment provides the tools you will need to address these challenges and to manage the condition of your organization's assets systematically.

How does ARCHIBUS Condition Assessment maximize your organization's stewardship of its assets over their entire lifecycle?

Web-based ARCHIBUS Condition Assessment provides an objective, dynamic process for evaluating physical assets to help substantiate corrective action. The application helps coordinate teams to assess the conditions of even large and dispersed facility and asset portfolios. It ensures completeness of coverage by assigning assessors specific checklists of tasks, and it accepts data from both mobile devices and Web forms. Using the application, each asset is assigned a numerical rating to determine the level of risk it poses to the organization’s overall mission.

When presented in the Condition Assessment Scoreboard, these values help you quickly determine how an asset rates in areas such as life safety, regulatory compliance, operational support, or in other user-defined categories. This scoreboard enables you to objectively identify situations that require the most immediate corrective action.

After the deficiencies are identified and prioritized, users can seamlessly and proactively take action on these assessment items – by grouping them into capital packages for funding using the ARCHIBUS Capital Budgeting application and/or issuing work requests, using the ARCHIBUS On Demand Work application, which can route the tasks to in-house or out-sourced service providers for resolution.

ARCHIBUS Condition Assessment provides a wide range of benefits for an organization, including:

  • Minimizing inefficient use of resources by supporting objective prioritization of issues for correction
